A successful career fair in Singapore comes down to four things: an easy registration flow, well-branded employer booths, smooth crowd movement, and AV that keeps talks and announcements clear. Whether you're an HR team running an in-house hiring day, an institution hosting a graduate fair, or an organiser managing a large multi-employer event, this guide covers the setup, layout and equipment that make a career fair run smoothly — and leave a strong employer-brand impression.

Plan 4–8 weeks ahead for a mid-sized fair, and earlier for large venues — see our event planning timeline.

Step 1: Plan your registration & check-in
Registration sets the tone. Options range from a simple manned counter to a digital registration system with QR-code check-in and on-the-spot name-tag printing. Capture attendee details for follow-up, and position the counter at the entrance with enough lanes to avoid queues.
Step 2: Design the booth layout
Each employer or department booth typically needs:
A branded backdrop / shell scheme or pop-up display
Table and chairs for conversations and collateral
Power and lighting for laptops, screens and displays
Optional LED screen or monitor to loop a company video
Arrange booths for even foot traffic — avoid dead corners, and place high-demand employers deeper in the space to pull visitors through the whole floor.
Step 3: Get the crowd flow right
Wide, one-directional aisles prevent bottlenecks.
Clear signage and a floor map at the entrance.
A holding / talks area so queues don't block booths.
Separate entry and exit points for large fairs.
Step 4: Sort AV, LED & staging
A central stage or LED screen anchors the event for:
Welcome addresses and employer presentations
A live schedule / now-speaking display
Announcements, queue numbers and wayfinding
Scale sound and screen size to the venue and expected headcount.
Step 5: Add engagement (so people stay longer)
Career fairs compete for attention. Lift dwell time and employer-brand recall with:
An AI photobooth with branded, shareable photos
A refreshment or live food station
A lucky draw or interactive challenge tied to booth visits
Charging stations and comfortable seating
Career fair setup checklist
